Executive Assistant to President

JOB DESCRIPTION

We are seeking an experienced Executive Assistant to support our President and Management Committee at Vogel Law Firm full-time. The successful candidate will manage calendars; screen, prioritize and route phone, email correspondence, and inquiries; draft responses and documents; and schedule and plan meetings and teleconferences. The ideal candidate should have excellent attention to detail, organizational skills, and the ability to proactively identify challenges and work toward solutions.

  • Manage the day-to-day calendars of the President and Management Committee with limited oversight
  • Screen and prioritize phone and email correspondence and inquiries
  • Read and route email correspondence, draft responses, documents, and presentations as requested
  • Schedule and plan for external meetings, conferences, teleconferences, corporate events, etc.
  • Manage expenses for President and office-related needs
  • Uphold a strict level of confidentiality and operate with good, professional judgment
  • Establish and maintain exceptional relationships both internally and externally
  • Schedule and manage travel requests
  • Manage ad hoc projects as needed

Requirements:

  • 4+ years of related experience (prior administrative support required)
  • Strong organizational and prioritization skills
  • A high attention to detail
  • Ability to excel in a fast-paced, ever-changing environment
  • An ability to proactively plan for and anticipate needs and identify and execute solutions
  • A record of managing highly confidential information and operating with good judgment
  • Advanced Microsoft Office skills
  • Excellent written and oral communication skills, with the ability to develop rapport and effective relationships with team members at all levels
  • An ability to effectively listen to feedback and act on constructive feedback

Qualifications:

  • An ability to multi-task and work in a fast-paced environment and quickly pivot when priorities shift
  • Effective communication skills and feedback skills, with an ability to give and receive feedback and incorporate constructive, creative feedback in a collaborative manner
  • An ability to work independently and as part of a team
